Privacy Policy
This Privacy Policy explains how The Fox Academy Inc. collects, uses, stores, shares and protects personal information when people visit the den school, contact the den, use this website or take part in any of our services. The website and the practices described here are maintained by the developer FoxAcademy on behalf of The Fox Academy Inc., and the developer FoxAcademy keeps the technical systems that support this site in good order. Our den sits at 1580 Adamson St, MISSISSAUGA - L5C 1B7, Canada (CA). We have written this policy in plain English so that a reader can understand it without legal training, and we have kept the same care in this document that we keep on a trail inside the den.
1. Scope and Who We Are
The Fox Academy Inc. is a company registered in Canada and operating a den school for computer integrated systems design at 1580 Adamson St, MISSISSAUGA - L5C 1B7, Canada (CA). In this policy, the words we, us, our and the Company all refer to The Fox Academy Inc. The words you and your refer to any person who visits our website, writes to the den, attends a service or otherwise interacts with us.
This policy applies to personal information that we handle through our website at foxacademy.buzz, through email and telephone contact with the den, during in person visits, and throughout the services we describe on our services page. It does not apply to information that a client stores inside their own systems, even where our mentors help to connect those systems, because in those cases the client remains the party that decides what the information is for.
The website itself is maintained by the developer FoxAcademy on behalf of the Company, and FoxAcademy follows the same privacy rules that are written here. Where this policy speaks of the den or the Company, a reader may assume that the same commitment extends to the developer FoxAcademy when that developer acts on our instructions.

2. Information We Collect
We collect only the information that we need to run the den, to answer a message and to deliver the services that a person or team has asked for. We do not collect information merely because a tool makes it possible, and where we can accomplish a task with less information we choose the smaller set. The information we handle falls into a few clear groups.
Information you give us directly
When you write to the den, send a note through the contact form or call the business line, you may give us a name, an email address, a telephone number, a job title, the name of an organisation and the content of your message. If you book a visit or a service, you may also give us scheduling preferences, billing details and notes about the system you would like to discuss.
Information created during a service
During a den circle desk, a tail tracking round, a snow trail week, a story fire day, a kit mentor session or a brush watch evening, our mentors keep a written trail. That trail may record the questions asked, the decisions made and the handoffs agreed. Where a trail would contain information about an identifiable person, we strip it down to the least that is needed for learning or for service delivery.
Information collected automatically
When you load a page of this website, the web server that serves it may record technical details such as the type of browser, the operating system, the approximate region from which the request came, the page requested and the time of the request. These details help us keep the site available and safe, and they are not used to build a personal profile.
Information from public sources
If you contact us on behalf of an organisation, we may consult that organisation public website to understand the context of your request. We do not assemble or buy third party marketing lists, and we do not attempt to match your name to records held by data brokers.
3. How Information Reaches the Den
Most of the information we hold arrives because a person chose to send it. You give us information when you complete the contact form, when you send an email to admissions@foxacademy.buzz, when you call +16828954728, when you visit the den in person or when you take part in a service. A colleague may give us your name and work email when arranging a team stay, and in that case we treat the information exactly as we treat information you send yourself.
A small amount of information is created automatically by the website and by the systems that keep it running, as described in the sections above. We do not otherwise obtain personal information from outside sources for any purpose connected with this policy.
4. Why We Use Information
We use personal information for a limited set of purposes, each of which is tied to the service we provide and to the reasonable expectations of the person who shared it. The main purposes are listed below.
- To answer questions, arrange visits and reply to messages sent to the den.
- To plan and deliver den services, including the preparation of materials, trails and kits.
- To keep the written trail that lets us hand work from one mentor to another without loss.
- To send administrative messages about a booking, a schedule or a change to a service.
- To keep accurate accounting and billing records as the law requires.
- To protect the website, the den and the people who use them from harm, fraud and misuse.
- To improve our services by understanding which parts of the den help a learner most.
- To answer a legal request, a court order or a lawful demand from a public authority.
We do not sell personal information. We do not use personal information to train a general purpose artificial intelligence model that is offered to the public. We do not use the content of a client system as a teaching case unless the client has agreed in writing and the identifying details have been removed.
5. Our Legal Grounds
Where the law of Canada applies, we handle personal information in line with the Personal Information Protection and Electronic Documents Act and with the privacy law of Ontario where that law reaches our work. Where the law of another country applies because a person writes to us from abroad, we respect the rights that law gives to that person to the extent we are able.
We rely on consent when we send a message that is not strictly necessary for a service you have asked for, and we rely on the performance of a contract when the message is part of a booking. We rely on the legitimate interest of running a safe den when we keep server records for security, and we rely on a legal obligation when we keep accounting records for the period the tax law requires.
7. Measurement and Site Performance
We measure the health of the website in aggregate. That means we look at counts such as the number of page requests and the number of errors, not at the behaviour of any named individual. Where a third party tool is used to measure availability, the data sent to that tool is reduced to the minimum needed to tell whether a page loaded and how quickly.
If we ever introduce a richer measurement tool, we will describe it here before it is switched on and give visitors a clear way to opt out. No analytics data is sold to any other party, and no analytics data is used to build an advertising audience.
9. Service Providers
The Fox Academy Inc. uses a small number of carefully chosen providers. A hosting provider keeps the website online and stores the server records. An email provider carries messages sent to and from admissions@foxacademy.buzz. An accounting provider keeps the records we are required to keep. A scheduling provider may hold the calendar entries for a visit. Each provider is selected for its security practice and each is bound by a written agreement that limits its use of our information.
We do not permit a provider to use our information for its own marketing, and we do not permit a provider to sell or share the information with a further party except as the law requires. Where a provider changes hands, we review the change before allowing the service to continue.
10. International Transfers
Our den is in Canada, but a provider may store data in another country. Where personal information leaves Canada, we take reasonable steps to ensure that it receives protection comparable to the protection it would receive at home. That may include contractual clauses, a review of the provider security programme and a limit on the types of information the provider can see.
If you write to us from outside Canada, the information you send will be handled in Canada and possibly in the country where the provider operates. By sending a message you understand that this transfer is necessary to answer you. You may ask us for more detail about the countries involved by writing to admissions@foxacademy.buzz.
11. How Long We Keep Information
We keep personal information only for as long as we need it for the purpose it was gathered and for any period the law requires. A message that does not lead to a service is usually removed within twenty four months. A trail from a delivered service is kept for up to seven years because it documents the work and can be needed for accounting or for a later question.
Server records used for security are kept for a short rolling period that allows us to investigate an incident. Where a record is no longer needed, we delete it or remove the details that could identify a person, whichever is appropriate. We review our retention at least once a year and we adjust the periods when the law changes.
12. How We Protect Information
The den treats information with the same care that it teaches for a system. Access is limited to the people who need it for a task, and every person who handles client information is bound by a confidentiality commitment. Records are stored in systems that require a strong password and, where available, a second factor of authentication. Devices are kept updated, backups are tested, and a mentor who leaves the den has access removed before the last day of work.
No system is perfectly secure, and we do not promise that an incident can never occur. We do promise that we will take reasonable technical and organisational steps to prevent one, that we will investigate promptly when one is suspected, and that we will tell affected people when the law requires it. If you believe you have found a weakness in this website, or if you want to test a security idea with us, please write to admissions@foxacademy.buzz so we can handle the matter together.
13. Your Privacy Rights
Subject to the law that applies to you, you have the right to ask what personal information we hold about you, to ask for a copy, to ask for a correction, and in some cases to ask for a deletion. You also have the right to withdraw a consent that you have given, though a withdrawal does not affect work already carried out on the basis of that consent.
- Access. You may ask for a summary of the information we hold and for an explanation of how it has been used.
- Correction. You may ask us to correct information that is wrong or out of date.
- Deletion. You may ask us to delete information that we no longer need, unless a law requires us to keep it.
- Objection. You may object to a use that rests on our legitimate interest and ask us to stop that use.
- Portability. Where the law provides it, you may ask for a copy of information in a common electronic form.
- Complaint. You may complain to us, and you may also complain to the privacy regulator in the country where you live.
To exercise a right, write to admissions@foxacademy.buzz with enough detail for us to find the records and to be confident that the request is genuine. We answer within thirty days, and where a request is complex we will tell you why we need more time. We do not charge a fee for a first request.
14. Privacy for Children
The den serves professionals and organisations, and this website is not directed at children. We do not knowingly gather information from a person under the age of thirteen. If a young person writes to us by mistake, we will remove the message once we understand what has happened, and we will not keep it for any other purpose.
If a learner brings a young person to the den, the adult who is responsible must give consent before any information about that young person is recorded. Parents and guardians may write to admissions@foxacademy.buzz to ask what is held about a child and to ask for its deletion.
15. Messages and Communication Choices
We send administrative messages when a booking is made, when a schedule changes and when a service requires it. We send a short seasonal note only to people who have asked for it, and every such note carries a simple way to stop receiving them. A message from the den is sent from admissions@foxacademy.buzz and never from an unrelated address.
You may change your mind at any time by replying to any message and asking us to stop, or by writing to the den by phone at +16828954728. A request to stop a marketing message does not affect an administrative message that is necessary for a service you have booked.
16. Links to Other Sites
This website may link to a page owned by another organisation, for example a professional body or a regulator. We choose such links with care, but we do not control the content or the privacy practice of another site. When you follow a link, the privacy policy of the site you land on governs what happens there, so please read it before you send any information.
Our legal pages link to each other and to the homepage, and those links stay inside this website. A link to an outside site does not mean that we endorse everything that site does, and it does not make us responsible for a record that site keeps.
17. Data Breach Response
If we become aware of a breach that puts personal information at risk, we act at once. The first step is to contain the breach and to protect the people affected. The next step is to work out what happened, what was exposed and who needs to know. Where the law requires a report to a regulator, we file it within the time the law allows. Where a person faces a real risk of harm, we tell that person directly and we explain what they can do.
We keep a written account of every incident, including its cause and the steps we took, and we use that account to strengthen the den. A breach is never hidden to protect a reputation; the reputation of the den depends on telling the truth on the trail.
18. Changes to This Policy
We review this policy at least once a year and whenever a service or a law changes. When we make a change that affects how personal information is used, we update the date at the top of this page and, where the change is significant, we place a short notice on the homepage. A person who has a current service with the den will also receive a message describing the change.
We keep earlier versions of this policy on file so that a visitor can see how the practice has evolved. A change never applies backwards to reduce a right that was already promised, and a continued use of the website after a notice is treated as an acceptance of the updated policy.
19. How to Reach the Den
For any question about this policy, any request about personal information or any concern about privacy, write to admissions@foxacademy.buzz or call +16828954728 during business hours. You may also write by post to The Fox Academy Inc., 1580 Adamson St, MISSISSAUGA - L5C 1B7, Canada (CA). We answer every privacy message within thirty days and we record the request so that it is not lost between mentors.
If you are not satisfied with our answer, you may contact the Office of the Privacy Commissioner of Canada or the Information and Privacy Commissioner of Ontario, depending on the law that applies. We will cooperate with any such review and we will not penalise a person for making a complaint in good faith.
